Release notes are a summary of changes made to the bhworks platform in a new release. The items listed below are in addition to the general improvements and bug fixes included in the release. For additional information on new functionality, please contact support@mdlogix.com.

Care Teams - Ability to Assign Multiple Providers to a Single Participant

The primary focus of the release is to allow multiple staff users to be assigned to the same participant. One or more staff users can be assigned to the participant for each of the programs in which a participant is enrolled. 

• Staff users with Access to Assigned Participants Only roles will only have access to participant information for program(s) where the user is directly assigned to the participant. 

• As was true previously, staff users with other roles will have access to participant information for the user’s programs, even if the user is not directly assigned to that participant.

Assigning Staff to Participants 

New Participant workflow (no referral)

In this workflow, a staff user creates a new participant in bhworks without a referral.

• Healthcare or Social Services Personnel

  • Users with one of these roles will have the option to assign the participant to themselves 

• Healthcare or Social Services Personnel with Access to Assigned Participants Only

  • Users with this role will be automatically assigned to the participant.

• Organization Managers 

  • Users with this role will have the option to assign themselves, other staff users, or no staff users 

Assigning a participant to a program (outside the referral process)

In this workflow, a staff user assigns a participant to one of the staff user’s programs.

• Healthcare or Social Services Personnel

  • Users with one of these roles will have the option to assign the participant to themselves 

• Healthcare or Social Services Personnel with Access to Assigned Participants Only

  • Users with this role will be automatically assigned to the participant.

• Organization Managers 

  • Users with this role will have the option to assign themselves, other staff users, or no staff users

Referral to my organization or program

In this workflow, a staff user enters a referral to their own organization and program. A user associated with the receiving program may be assigned to the participant automatically based on the organization’s configuration. Otherwise:

• Healthcare or Social Services Personnel

  • Users with one of these roles will have the option to assign the participant to themselves 

• Healthcare or Social Services Personnel with Access to Assigned Participants Only

  • Users with this role will be automatically assigned to the participant.

• Organization Managers 

  • Users with this role will have the option to assign themselves, other staff users, or no staff users 

Referral to another organization or program

When a staff user makes a referral for a participant to an organization or program other than their own organization or program, a user from the receiving program may be assigned to the participant by the receiving organization or program based on that organization’s configuration.

New Manage Staff Workflow 

Organization Managers can assign and unassign staff for a participant either by clicking on the Manage Staff button on the participant pop-up or by using the Manage Staff option in the Actions menu when in the participant’s record. Organization Managers will be able to see all staff assigned to a user, organized by program, and they will have the option to assign or unassign per program. 

The Date Assigned field indicates when the staff user was assigned to the participant for the program. bhworks will also capture the date the user is unassigned from the participant for that program, although this information is not currently displayed. 

Note that legacy staff-participant assignments (from prior to this release) will show 1/1/1900 as the date assigned. 

Only Organization Managers will have access to the Manage Staff page. 

Viewing a Participant’s Care Teams and Programs

• Participant Pop-Up - To see the participant’s staff assignments for your programs, click on the Care Team icon in the participant pop-up that appears when you first select a participant. A popup will display the staff users assigned to the participant by program. Users will only be able to see assigned staff for programs that they are also assigned to. 

• Summary Page - The Summary Page now includes an at-a-glance view of all staff assigned to a participant and their respective programs. Users will only be able to see assigned staff for programs that they are also assigned to. 

Staff User Roles Management

• Assigning both an Organization Manager and Social Services/Healthcare Personnel with Access to Assigned Participants Only role to the same user is no longer permitted. These roles are in conflict because the Organization Manger role has access to all participants in the user’s programs while the Access to Assigned role has access just to assigned participants. 

The Organization Manager role has been removed from all staff users with the limited access role. 

If a user that previously had this combination needs to be able to amend their own case notes, organization administrators will be able to assign that permission. 

If a user with this combination needs to be able to assign or unassign participants from their own and other user’s case loads, they should be given the Organization Manager role only. 

Dashboards and Report Improvements

We have made improvements to the following reports:

• Case Load Report UPDATED The Case Load Report has been updated to reflect the Care Team changes, where participants can now be assigned to more than one staff user. bhworks will now capture the dates a staff user is assigned to and unassigned from a participant, although the end date is not displayed. At this time, the Case Load Report can only be run for current staff assignments. For a future release, we are working on a report that allows organization managers to run a Case Load Report for a specified period of time in order to view historical staff assignments.

• Participants: Program Enrollment Report UPDATED We have removed assigned staff from the Program Enrollment Report.

• Tasks: Report UPDATED We have removed assigned staff from the Tasks: Report.
