Creating and Logging Direct Group Services

How to create groups and log direct services for multiple participants. If you don't see this module, please ask your bhworks administrator to contact support@mdlogix.com to enable it. 


Creating a Group:

Click on Groups in the dashboard on the left.
Click +New Group towards the top right corner. (see image below).
Group Name - The name of the group you are working on.
Status - Is the group active or inactive?
Organization - The name of the organization in which the group is under.
This field should automatically populate.
Program - The location in which the group took place.
Description - What took place during the group activity? This is specific to the group and not to just one participant.
Assigned To - The provider's name.
This field should automatically populate.

Funding Source - If a funding source is available choose from the drop down the appropriate

Service - What group service was provided?
Site - Where did the group services take place?
Meeting Start and End time - When did the meeting start and end?
Click Save.



Entering the Group Information. 

Once a group has been created, there will be 3 subfolders within the group. Group information, Group members, and Sessions. Within these subfolders, you will be able to see a summary of the group, add group members, and create new sessions for the group. 



Adding/Removing Group Members: Assign or unassign participants within an organization to or from the group. 


*A participant must have a profile in bhworks and be assigned to the provider running the group to be added.*


To Add a participant to the group:

Click on the Group Members subfolder.        
Enter the name of the participant you wish to add to the group (one at a time). Then Click Add.
Follow the same process to enter the next participant's name until all participants have been added.


To Remove a participant from the group: (While in the group feature)

Click on the Group Member subfolder
Click on the Remove button next to the participant that needs to be removed.
You will be prompted to confirm that you want to remove this participant.
Click ok after you have confirmed this is the participant you want to remove.


Creating a Group Session.

Every time the group meets, you will create a new session. Confirm the group's information and select session-specific information, including date, scheduled or unscheduled, session objective, site of encounter, encounter status, service strategies, start and end times, documentation time, travel time, upload supporting documentation, and add session notes.



Click on the Sessions subfolder.
Click on +New Session button
Program- Automatically populates.
Service- Automatically populates.
Date- Automatically populates.
Scheduled- Was the session scheduled, yes or no?
Session Objective- Goal of that day's group meeting.
Site- Automatically populates.
Encounter Status- Is this session finished, or was it canceled?
Clicking Finish will populate a Start and End Time Field.


Finalizing an Individual Case Note in the Group Notes Feature.

Click on the Group tab on the left side of the screen. Then click on the group that is needed.
Click on the Sessions subfolder.
Click on the Group name that has the case note in it and then click the participant's name where the note needs to be finalized. 
Select the Reason to treat from the drop-down menu and Select Progress from the drop-down.
Enter in your Case Notes. Select either Save and Return (this will keep the note in preliminary status) or 
Save and Finish (This will finalize the case note, changing the case note from preliminary to finish.
Finalizing an individual participant note will finalize the group note also
Once you select Save and Finish, you will be prompted to confirm that you want to finalize the note by clicking OK. (See image below). After selecting either option, you will be brought to a summary screen.
Select the Back button to go back to your Sessions landing page. 
Then, you can select Back to Sessions, and this will take you back to your Group’s landing page.
