Case Notes: Overview Dashboard Guide

The Case Notes: Overview dashboard displays de-identified, aggregated, real-time data and provides an overview of case notes (direct services and activities for participants) entered in bhworks.

You can use the filter options to narrow the dashboard results to only show specific programs, districts, schools, and notes status. Otherwise, the default view will show case notes across for all associated programs and locations. 


Default Filters

The Case Notes: Overview dashboard is defaulted to view only case notes with an Encounter Status of Finished and Note Status of Finalized. You can remove one or both filters to view all case notes regardless of status by clicking the X next to the filter name.


Dropdown/Selectable Filters:

You can use the filter options to narrow the dashboard results to only show specific programs, districts, schools, and notes status. Otherwise, the default view will show all case notes across for all participating programs and locations

  • Program

  • District / Organization

  • School / Location

  • Encounter Status (Finished is included by default)

  • Note Status (Final is included by default)

  • Funding Source

The Case Notes: Overview dashboard is an easy way to pull the following numbers:

  • Total Number of Case Notes entered

  • Count of Unique Participants who had at least one case note logged 

  • Count of Unique Number of Providers that logged at least one case note 

  • Total number of minutes for all direct services provided (in minutes)

  • Average Service Duration (in minutes)

The Case Notes: Overview dashboard also includes the following charts and tables:

  • Case Notes by Month

  • Demographics of the participants who have at least one case note entered for them

    • Gender

    • Race

    • Ethnicity

    • Age at Encounter

  • Service Type Categories

  • Services (Top 20)

  • Service Strategies (Top 20)

  • Reasons to Treat (Top 20)

  • Staff usernames who entered at least one case note

Download to PDF

Once you have defined the dashboard based on your needs, you can export the entire dashboard as a PDF using the Download to PDF button found on the upper right-hand side. 


Resetting the Dashboard

  • To clear individual filters, please click the X next to the filter at the top of the dashboard

  • To reset the dashboard to its original settings, click the Refresh button on your browser
