Dashboards: General Overview

Dashboards in bhworks provide deidentified, population level information while Reports provide individual level, identified information. 


This article discussed the common filters, functions, and settings that can be applied to all dashboards.

Filtering Overview

All dashboards offer the ability to apply filters to the data. When filters are applied, the filters are shown in the upper, left hand corner of the dashboard (similar to image below). Note, some dashboards (e.g. Case Notes: Overview - shown below) have automatic filters applied by default when viewing the dashboard.


In the example below, the Case Notes: Overview dashboard is defaulted to view only case notes with an Encounter Status of Finished and a Note Status of Finalized. If you want to view all case notes activity, regardless of the Note Status and/or Encounter Status, you can click the X to remove either or both filters. 


Removing Filters

  1. Find the desired filter at the top left of the dashboard

  2. Click the X in the filter box. 


Exclusion Filters

In some cases, you may want to exclude value(s) from a dashboard. In this case, you would:

  1. Apply a filter for the value you want to exclude

  2. Hover over the applied filter in the upper left corner of the dashboard

  3. Click the filter

  4. In the menu, select “Exclude results”


This will show all data except for that value as per the example below.



Disable/Enable Disable Filter(s)

Filters can be temporarily disabled and re-enabled on the dashboard. In this case you would:

  1. Find an applied filter

  2. Hover over the applied filter

  3. Click the filter

  4. In the menu, select “Temporarily disable”


This will temporarily disable the filter as per the example below. To re-enable, follow the steps above and then select “Re-enable” in Step 4.



Inclusion Filters

In many cases, you may want to include (i.e. filter for) value(s) within a dashboard. This can be done in multiple ways and is discussed further in the next sections.

Dashboards also include selectable filters which are shown along the left column of the dashboard. Users are able to select one or more of these filters to apply to the data.


In the example below, the Referrals: Overview dashboard can be filtered by Referred To (Organization / Program), Referred By (State), Referred By (Organization / Programs/ School), Referral Status, and/or Started Services.


Time Filtering

The default time period for Dashboards is to show the activity for the past 2 years. You can specify the time period for the specific date range you need using one of the two most commonly used options:


Absolute Date Range (e.g., 1/1/2025 to 6/30/2025)

  1. Click the box that says 'Last 2 years'

  2. Select 'Absolute' and select the start date and scroll the time to 00:00 on the right-hand side to include everything entered as of 12:01 am that day

  3. Click 'Now' next to the Update button

  4. Click 'Absolute' and the end date and scroll the time to 23:30 on the right-hand side to include everything entered before 11:30 pm that day (Skip this step if you want to use the current date for the end of the time period)

  5. Click 'Update'


Relative Date Ranges (e.g., last 3 years)

  1. Click the box that says 'Last 2 years'

  2. Select 'Relative' 

  3. Click 'Now' next to the Update button

  4. Enter a number and the time unit (eg. For all activity within the past 3 months, enter 3 and select ‘Months Ago’ from the drop down

  5. Click 'Update'

Pre-Defined or Recently Used Date Ranges (e.g., last 2 years, July 2022 to June 2023, etc.)

  1. Click the Calendar icon and select one of the following options

    • Quick select - Shows activity for the last number of Days, Weeks, Months, Year

    • Commonly Used - Pre-defined date ranges including calendar quarters

    • Recently used date ranges - Quickly navigate to show date ranges you have recently entered

Filtering Graphs & Tables

When viewing the data within the dashboards, the data is often displayed within pie graphs, bar graphs, and/or tables. Each of these graphs and tables are able to be filtered by a specific value. 


Pie Graph Filtering

  1. Using your cursor, hover over the desired value/slice (High Risk in the example below)

  2. Click your mouse to apply a filter for that value/bar

Bar Graph Filtering

  1. Using your cursor, hover over the desired value/bar (1st grade in the example below)

  2. Click your mouse to apply a filter for that value/bar 

Table Filtering

  1. Using your cursor, hover over the desired value (ISDDemo in the example below)

  2. Click the (+) icon to apply a filter for that value

Filter(s) that have been applied will show at the top of the dashboard.

Download to PDF

Once you have defined the dashboard based on your needs, most (but not all) dashboards allow you to export the entire dashboard as a PDF using the Download to PDF button found on the upper right-hand side.



After clicking on the ‘Download PDF’ button, you will see a pop-up showing that the PDF is being downloaded. We recommend not clicking OK and letting the process run. Once it is complete, you will see a pop-up showing where the file will be saved. At this point, you can change the file location and/or rename the PDF. 


View/Download Graph as Table (Inspect)

Graphs (pie charts & bar graphs) can be viewed and downloaded as tables (shown below). To view a graph as a table:

  1. Find the desired graph (pie chart or bar graph)

  2. Click the 3 dots icon in the upper right corner of the graph

  3. Click Inspect from the menu




Note: If desired, you can click the “Download CSV” button to download the graph as a table (shown below)
