bhworks 24.3 Release Notes

Release notes are a summary of changes made to the bhworks Platform in a new release. The items listed below are in addition to the general improvements and bug fixes included in the release. For additional information on new functionality, please contact support@mdlogix.com.
Task List Organization - Display by School Year, Program, & Filtering
Participant task list organization is the main focus for the 24.3 release. Within this release we improved the way that participant tasks are displayed and implemented the ability to filter task lists by school year and program.
Group Task Lists by School Year - for school-based organizations, we implemented an organizational setting that will group participant tasks by school year. If turned on, participant tasks will display as follows:
Selected Participant Popup - in the selected participant pop-up, tasks are grouped by school year, then by program and task list. Only tasks for the current school year are displayed. A message will be displayed if no tasks have been assigned for the current school year.
Participant’s Task List Grouping - on the participant’s tasks list, tasks are grouped by school year, then by program, then by Task list name. In the example below, the program name is ‘ISD/RESA Demo Site’ and the task lists within that program are SEL Universal Screening and Mental Health Referral Tasks.
Participant’s Task List Filtering - users can filter the participant tasks list by Date Range (school year) and Program. By default, the current school year and all programs are selected. A message will be displayed if no tasks have been assigned for the current school year. Filter settings will be saved if the user navigates away from the task list, but will reset upon logout.
Group Task Lists by Program - for non school-based organizations, participant tasks will display as follows:
Selected Participant Popup - in the selected participant pop-up, tasks will be grouped by program and then task list. In the example below, the program name is Beta-Naloxone Training and the task list is also Beta-Naloxone Training.
Participant’s Task List - on the participant’s tasks list, tasks will be grouped by program and then task list. In the example below, the program name is ‘Demo School’ the task lists are Referral Tasks and Student Assessment Tasks.
Filtering Participant’s Task List - users can filter the participant tasks list by Program. By default, all programs are displayed.
Filter settings will be saved if the user navigates away from the task list, but will reset upon logout.
Tasks Management - Bulk Task List Assignment, Moving Tasks
Participant task list management has been another focus for the 24.3 release. Within this release we have improved the way that users can assign and manage tasks.
Moving Tasks - users can move a completed task from one task list to another. This is done on the participant’s task list as follows:
On the Participant’s Tasks tab, find the desired task
Click More Actions menu (3 dots icon to the right of the task)
Select Move Task from the menu
Select the desired task list from the Move to Task List dropdown
Click the OK button
Note: It will not be an option to move a completed task to a Referral task list, since tasks associated with a referral may be visible to users outside the organization. Only Completed tasks can be moved.
Bulk Assigning Task List Templates & Emailing (for Universal Screening & Parental Consent) - users can bulk assign task list templates and send an email to participants or parents to complete task(s). This is done on the Participant tab as follows:
On the Participants Tab, select the desired participants (via checkboxes)
Click the Action menu
Select Assign Task List
On the Assign Task List pop-up, select a task list from the Task List dropdown
Click the Assign Task List button
Check the Task(s) to assign
Select Send link to (Participant or Parent/Guardian Email)
Check the other options if desired (send email and notification)
Click Assign Task List button
Note: As shown below, the system will begin processing the request and then display a success or failure message. It is important to stay on this page until it has been completed.
Removing a Task List from a Participant - Users with the Organization Manager role can remove an entire task list from a participant’s Tasks tab. This may need to be done if the task list was assigned in error. This is done on the Participant tab as follows:
On the Participant’s Tasks tab, find the desired task list
Click the menu on the task list (3 dots icon to the right of the task list name)
Select Remove from the menu
In the “Are you sure you want to remove this task list?” pop-up, click the OK button.
Note: This option will only be available if there are no completed tasks in the task list.
Dashboards and Report Improvements
Report Improvements
We have made improvements to the following reports:
Participants: Program Enrollment Report UPDATED We have expanded the Program Enrollment Report to include Veteran Status.
Referrals: Referred Participant Report UPDATED We have expanded the Referred Participants Report to include Date Entered, Service Start Date, Service End Date, and Duration.
Dashboard Time Filters
The time filters have been improved to include the following quick select time periods:

Note: for each of the above quick select dates, the start date is the earliest date and the end date is the latest date. For example, July 2024 - June 2025 is defined as July 1, 2024 - June 30, 2025. Quarters are defined in the same manner. For Oct 2023 - Dec 2023, it is defined as October 1, 2024 - December 31, 2024
Dashboard Improvements
Many dashboards have been improved in this release. We have focused on complete/final data, simplified the filters, and standardized the colors and layout for a better user experience. We have also improved the labels and descriptions within each visualization (chart/graph/panel). The following dashboards have been improved with this release:
Activity Overview REMOVED This dashboard has been replaced with the Tasks: Overview (Completed) dashboard. Many of the tables that were displayed have been transformed into filters on the Tasks: Overview (Completed) dashboard.
Discharge Summary: Overview NEW Displays de-identified aggregate data on the number of Discharge Summary records. The data includes counts for total discharge summaries as well as a count of unique participants. Graphical breakdowns display the data by month (finalized date) and reason for discharge. Filters allow users to drill-down by program, district/organization, and school/location.
Indirect Services: Overview UPDATED Displays de-identified aggregate data on the indirect services provided by an organization. Indirect services are those not considered direct participant services (SEL lessons, consultation, training, etc.). Information here includes an overall count of indirect service entries, attendees, and duration. Graphs breakdown the entries and attendee data by month (service date), grade, staff, and service name. Filters allow users to drill-down by program, district/organization, school/location, service type/category, and service status.
Referrals: Incoming REMOVED This dashboard has been replaced with the Referrals: Overview dashboard. Many of the tables that were displayed have been transformed into filters on the Referrals: Overview dashboard.
Referrals: Incoming (LEAs) REMOVED This dashboard has been replaced with the Referrals: Overview dashboard. Many of the tables that were displayed have been transformed into filters on the Referrals: Overview dashboard.
Referrals: Incoming (School District) REMOVED This dashboard has been replaced with the Referrals: Overview dashboard. Many of the tables that were displayed have been transformed into filters on the Referrals: Overview dashboard.
Referrals: Outgoing REMOVED This dashboard has been replaced with the Referrals: Overview dashboard. Many of the tables that were displayed have been transformed into filters on the Referrals: Overview dashboard.
Referrals: Overview NEW Displays de-identified aggregate data on the number of referrals (incoming and outgoing) for an organization. The data includes counts for total referrals as well as a count of unique participants. Graphical breakdowns display the data by month (referral date), primary referral reason, referral made by, referral made to, started services status, reason not started services, entered by user, and acknowledged by user. Filters allow users to drill-down by referred to, referred by, referral status, and started services status
Referrals: Referral Details UPDATED Displays de-identified aggregate data on the number of Referral Details records (entered on the Referral Details form) when the referral was made. The data includes counts for total referral details forms as well as a count of unique participants. Graphical breakdowns display the data by month (finalized date), grade, person entering the referral, emancipated minor, secondary referral reasons, concerns regarding behavior, and current supports. Filters allow users to drill-down by program, district/organization, school/location, and task name.
Screening Activity: CSSRS NEW Displays de-identified aggregate data on the number of Columbia-Suicide Severity Rating Scale (C-SSRS) screening records. The data includes counts for total screenings as well as a count of unique participants. Graphical breakdowns display the data by month (finalized date), risk level scores, and a breakdown of each question’s responses. Filters allow users to drill-down by program, district/organization, school/location, and task name.
Screening Activity: SECA (Long Form) UPDATED Displays de-identified aggregate data on the number of Social Emotional Competency Assessment (SECA) Long Form screening records. The data includes counts for total screenings as well as a count of unique participants. Graphical breakdowns display the data by month (finalized date), average scores in each category/area, and a breakdown of each question’s responses within each category/area. Filters allow users to drill-down by program, district/organization, and school/location.
Screening Activity: SECA (Short Form) UPDATED Displays de-identified aggregate data on the number of Social Emotional Competency Assessment (SECA) Short Form screening records. The data includes counts for total screenings as well as a count of unique participants. Graphical breakdowns display the data by month (finalized date), an overall average score, and a breakdown of each question’s responses within each category/area. Filters allow users to drill-down by program, district/organization, and school/location.
Tasks: Overview (Completed) NEW Displays de-identified aggregate data on the number of completed tasks (includes electronic forms as well as non-form tasks). The data includes counts for total tasks (completed) as well as a count of unique participants. Graphical breakdowns display the data by month (completed date), task name, and task list name. Filters allow users to drill-down by program, school/location, and task name.
Other General Improvements
Below are a few other general improvements that were made as part of the 24.3 release.
Participant Upload for Universal Screening - The participant upload process now supports the inclusion of parent/guardian contact information.
Indirect Services - A warning displays if the user clicks away from the screen without saving when entering a group of Indirect Services
Case Notes - case notes are now sorted start time as well as date on the Case Notes tab, with the most recent at the top. (They were previously sorted by date only.)
Referral Emails - An email will NOT be sent to the user who entered a referral to their own org when the referral is acknowledged. (Users receiving these emails were seeing a blank screen when clicking a link to the referral, which is meant for the sending organization.)
Upload Consent Documents - Bug has been fixed where users with “access to assigned participants only” roles could not upload consent documents in certain cases.
Manage users - Organization Administrators can now search for users in their organization by First and Last name.
