Instructions for Requesting Participant Merge

mdlogix has created a process for merging duplicate participants in bhworks. Before we can run the script, please follow the instructions below to update the records and to provide the necessary information to mdlogix.

Getting Started: Locate the orange Help button on the bhworks dashboard located in the bottom right corner of every webpage.

Contact Us: The Contact Us button is your direct link to obtain technical support for any issues you may encounter while using bhworks that your System Admin can not assist you with. Click the button to open a support form and provide all relevant information with full details about your issue. 

• Response Time:  Response times may vary, but the tech support team is dedicated to addressing your inquiries promptly and work to provide an initial response within 24 hours. 
• After submission: You may receive follow-up questions or troubleshooting steps from the support team. Please keep an eye on your email for updates regarding your request.  

Once the below steps are complete, please utilize our Help button: Contact us feature to submit a ticket. 

Client Tasks

1. Identify the participants that need to be merged ("source" and "target" records). 
2. If necessary, please manually update the target record’s profile from the source record. The information in the source record will be retained after the merge process. The information captured in the participant profile will vary based on your organization’s configuration.
   1. Name
   2. DOB
   3. Race
   4. Ethnicity
   5. Date of Death
   6. Reason for Death
   7. Gender
   8. Primary Insurance Carrier
   9. Medicaid ID
   10. Home Phone
   11. Cell Phone
   12. Other Phone
   13. Email
   14. Address
   15. Preferred Language
   16. Needs Interpreter
   17. Assistive Device
   18. Assigned Staff
   19. Username
   20. Location
   21. SSN
   22. Preferred Contact Method
   23. Veteran Status
   24. Parent/Guardian Contact Information
       
       
3. Please send the merge request(s) to the support team via the Help Button: Contact Us with the following information:
   1. 1st merge: 
      • Target URL: (Update target from source) https://app-beta.bhworks.io/staff/users/49261
      • Source URL: (This will be deleted in merge) https://app-beta.bhworks.io/staff/users/49262
   2. 2nd merge: 
      • Target URL: (Update target from source) https://app-beta.bhworks.io/staff/users/49263
      • Source URL: (This will be deleted in merge) https://app-beta.bhworks.io/staff/users/492

Note: The “source” record will be merged into the “target” record. Profile information on the target will be maintained. The “source” record will be deleted. The merge script execution cannot be reversed. It is critical that the source and target records are accurately identified, reviewed, and confirmed before sending to mdlogix.
